RecRam helps organizations hear from people through video, voice and text. This Acceptable Use Policy sets out what you may not do with RecRam, so that the people who answer your forms are treated fairly and lawfully. It forms part of our Terms and Conditions of Service and applies to every account, team member and API user.
1. Illegal and Harmful Content
You may not use RecRam to create, collect, store or share content that:
- is illegal, or promotes or facilitates illegal activity;
- sexually exploits or endangers children, in any form;
- harasses, threatens, bullies, intimidates or incites violence or hatred against any person or group;
- is defamatory, fraudulent or deceptive, including phishing or impersonating any person or organization;
- infringes intellectual property, privacy or other rights of others; or
- contains malware or other harmful code.
2. Respecting the People Who Answer
You may not:
- record or collect personal data from people without the notice, consent or other lawful basis required by applicable law, including laws on recording conversations and on collecting data from employees and job candidates;
- collect special categories of personal data (such as data about health, racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, sex life or sexual orientation, genetic or biometric data) or data about criminal convictions, unless you have a lawful basis and meet the additional requirements of applicable law;
- collect personal data from children under 16 (or the higher age set by local law) without verifiable consent from a parent or guardian where the law requires it, or direct a form at children for that purpose;
- mislead respondents about who you are, why you are asking, how their answers will be used or that AI is involved; or
- share respondents’ answers or recordings publicly, or with third parties, without a lawful basis.
3. No Automated Decisions About People
You may not use RecRam, or anything RecRam produces (such as transcripts, summaries or tone labels), to make decisions about people based solely on automated processing that produce legal effects or similarly significant effects on them. This includes decisions about:
- employment: hiring, rejection, promotion, pay, discipline or termination;
- credit, lending or other financial services;
- housing;
- insurance;
- education and admissions;
- healthcare; and
- law enforcement, migration or access to public services.
Any such decision must be made by a person who has the authority and the information to make it and who has reviewed the answers themselves.
4. No Use of AI to Evaluate or Profile People
RecRam’s AI features work on the content of answers, as described on the How RecRam uses AI page. You may not attempt to use them, through prompts, form design, the API or otherwise, to:
- evaluate, score, rank, screen, shortlist or categorize people;
- infer a person’s emotions, personality, honesty, intentions or suitability for a role;
- infer demographic characteristics or special categories of personal data, such as age, gender, ethnicity, health, religion, political opinions or sexual orientation;
- identify people from their face or voice, or perform any other biometric identification or categorization; or
- monitor or analyze employees’ or students’ emotions.
Your own team members may score responses by hand. That is a human assessment, and you remain responsible for it.
5. No Deepfakes or Altered Likenesses
You may not use RecRam to create, edit or distribute content that alters a person’s face, voice or likeness, or that makes it appear that a person said or did something they did not, without that person’s consent. You may not present recordings in a misleading context.
6. No Spam
You may not use RecRam to send unsolicited bulk messages, to send messages to people who have not agreed to receive them where consent is required, or to harvest email addresses or other contact details.
7. Security and Fair Use of the Service
You may not:
- access or attempt to access accounts, data or systems you are not authorized to access;
- probe, scan or test the vulnerability of RecRam without our written permission;
- interfere with or disrupt RecRam, including by overloading it or by circumventing rate limits, plan limits, usage quotas or security measures;
- use bots, scrapers or other automated means to access RecRam, except through our official API in line with its documentation;
- reverse-engineer, decompile or disassemble RecRam, except where the law expressly allows it;
- access RecRam to build a competing product or to copy its features or design; or
- share accounts, or resell RecRam without our written consent.
If you believe you have found a security vulnerability, please report it to support@recram.com and do not access more data than needed to show the issue.
8. Enforcement
If we reasonably believe that an account breaks this policy, we may remove or disable the content concerned, restrict features, or suspend or terminate the account, depending on the severity of the issue. Where appropriate and lawful, we will tell you first and give you a chance to fix the problem. We may report illegal content to the competent authorities. We are not obliged to monitor content, but we act on reports.
9. Reporting a Violation
To report content or conduct that may break this policy, email support@recram.com with the subject “Abuse report”, the link to the form or content concerned, and a short description. If you answered a form and have a question about your own data, please contact the organization that sent you the form first; you can also write to gdpr@recram.com.
10. Changes
We may update this policy as our services and the law change. The current version is always on this page.
