This page explains, in plain language, what RecRam’s AI does with answers, what it never does, and who decides. It is written for the teams that use RecRam and for the people who answer their forms, including job candidates.
1. What the AI Does
RecRam’s AI works on what people say, write and show in their answers. It can:
- Transcribe spoken answers into text and create captions for recordings;
- Summarize an answer and pick out its main topics and keywords;
- Translate answers and questions into other languages;
- Indicate the tone of the text of an answer, for example positive, neutral or negative;
- Describe what is shown in an uploaded image or in a video or screen recording, such as a product, damage to it, a document or what is on a screen, without describing the people in it;
- Pick out details a team asks for from the content of answers, such as an order number or a product name;
- Draft titles and quotes for clips a team chooses to publish in a showcase;
- Answer a team member’s questions about their own forms and responses in the app; and
- In AI Chat forms, ask follow-up questions within the topics the form’s owner has set, using any documents the owner has provided.
These tools save a team from typing up, translating and re-watching every answer. They describe the content of an answer. They do not judge the person who gave it.
2. What the AI Never Does
- It does not evaluate, score, rank, screen, shortlist or classify people.
- It does not make or recommend decisions about anyone, such as whether to hire them.
- It does not try to read emotions, personality, honesty, intentions or suitability for a job.
- It does not guess age, gender, ethnicity, health or any other personal or sensitive characteristic.
- It does not recognize faces or identify people by their face or voice, and does not analyze facial expressions.
- It does not alter anyone’s face, voice or likeness, and does not create deepfakes.
Using RecRam for any of these purposes is prohibited by our Acceptable Use Policy.
3. People Make the Decisions
Every decision about a respondent is made by the organization that sent the form, by people. Teams can watch the recordings and read the answers themselves, and they can score responses by hand if they want to. That scoring is a human judgment, not an AI one. AI output can contain mistakes, so teams should check it against the original recording before relying on it.
4. Who Provides the AI, and No Training
- RecRam’s AI features use Google’s AI services (Gemini, through Google Cloud and the Gemini API). Google processes the content as our sub-processor, to produce the result for RecRam.
- Answers and recordings are not used to train AI models: we do not use them for training, and under Google’s paid cloud and API terms, Google does not either.
- We do not use any other AI provider for answers. If that changes, we will update our Data Processing Agreement and notify customers in advance.
5. Where It Is Processed and How It Is Protected
AI requests may be processed in the United States. Data is encrypted in transit and at rest, access is limited to what is needed, and transfers from Europe, the UK, Switzerland and Turkey are covered by the safeguards described in our Data Processing Agreement (such as the EU Standard Contractual Clauses). AI output, such as transcripts and summaries, is stored with the answer and deleted with it.
6. When AI Runs and How to Turn It Off
In video forms, the form’s owner can turn “AI transcripts and summaries” off for each form. When it is off, no transcription, summary, tone indication, image description or automatic translation runs on that form’s answers. Recordings are still stored and delivered as usual, and connected integrations receive the AI fields empty. In Recorder, transcription and summaries can be turned off for each recorder; when both are off, uploaded images are not described by AI either, and if the setting cannot be read, AI does not run. Even where AI processing is off, a team member can still start an AI action by hand in the app, for example translating an answer or creating captions for their own video. AI Chat forms always use AI, because the AI asks the questions. Transcripts and other AI output are stored with the answer and deleted with it.
7. AI Chat Forms
In an AI Chat form, the follow-up questions are written by an AI assistant, not by a person at the organization. The assistant stays within the topics the organization set, and it does not assess the person it is talking to. RecRam shows respondents that they are chatting with AI and that decisions are made by people, and organizations must not suggest otherwise. If a respondent uses voice typing, their browser’s own speech recognition turns speech into text; that is a feature of the browser, not of RecRam.
8. If You Answered a Form
The organization that sent you the form controls your answers and decides which RecRam features, including AI features, are used. Where AI processing is turned on for a form, the form shows you a notice about it. To ask for a copy of your answers, a correction, deletion, or a human review of any decision made about you, contact that organization. If you cannot reach it, write to gdpr@recram.com. We will pass your request on and help the organization respond. More information is in our Privacy Policy.
9. Using RecRam in Hiring
If you use RecRam to collect video or voice answers from candidates, we recommend that you:
- ask every candidate for a role the same structured questions;
- have a person from your team review every application, using the recordings and answers themselves, not only the summaries;
- tell candidates before they start that their answers are recorded and processed with AI, and how to reach you, or turn AI processing off for the form if you do not need it;
- offer accommodations, such as a text-only option, where a candidate needs it;
- keep answers only as long as your hiring process and the law require, then delete them; and
- check the laws that apply to your hiring, such as data protection laws, the EU Artificial Intelligence Act, New York City Local Law 144 and the Illinois Artificial Intelligence Video Interview Act, which may require specific notices, consent or other steps.
Notice you can copy for candidates
Adjust it to your process and add it to your form’s welcome screen or your candidate privacy notice:
This application uses RecRam. Your recorded answers are transcribed and summarized with AI to help our hiring team review them. AI does not assess you or make any decision; our team reviews every application. You can ask us for a human review, a copy, or deletion of your data at [contact].
10. Questions
Customers can find the contractual terms for AI processing in Section 16 of our Data Processing Agreement and in Section 12 of our Terms and Conditions of Service. For any other question about how RecRam uses AI, write to gdpr@recram.com.
