What Room is

Room is an async 1:1 video inbox. You send a message, your contact replies when it suits them, and nobody has to schedule a meeting. Contacts reply from their browser in one of five formats: Video, Voice, Screen Recording, File, or Text.

Room also keeps the conversation history, shows message status, and gives you analytics signals, so you can see where each conversation stands.

Open a Room and send your first message

  1. Open Room and confirm who the contact is and what you want from the conversation.
  2. Write your message. Say which reply format you expect and include clear instructions for responding.
  3. Send a test message first and check the browser-based reply flow yourself.
  4. After the test replies, check message status and analytics.
  5. Agree on standard follow-up timing so conversations keep moving.

The five reply formats

  • Video: best for emotion, tone, and richer context.
  • Voice: lower friction for fast replies.
  • Screen Recording: best for walkthroughs, bug reports, and UX feedback.
  • File: for sharing documents and other supporting files in the conversation.
  • Text: a reliable fallback for contacts who prefer not to use a camera or microphone.

Collect screen recording replies

Ask for a Screen Recording reply when you need the contact to show you something, such as a product walkthrough or an issue they are seeing. Say so in your message, and mention that Voice or Text works too if they can’t share their screen.

Share files in a conversation

Use the File reply format when the conversation needs supporting documents. Ask for the specific file you need in your message so the contact knows what to send.

Write prompts that get replies

  • Set the expected reply format and give clear instructions for responding.
  • Say what you want the contact to do and how long it will take.
  • Follow up on a consistent schedule rather than ad hoc.

Plan limits

Room is included on every paid plan. Starter includes 50 Room video messages per month and Professional includes 100. You can add 100 extra Room messages per month as an add-on.

Troubleshooting

The contact can’t reply from their browser

  1. Reproduce the issue with one controlled test. Send a test message and note the exact browser, device, and reply format.
  2. Confirm the prerequisite settings: permissions, the reply formats you asked for, and how you shared the Room.
  3. Apply the smallest fix first, then retest with the same scenario.
  4. Retest in each browser and device after every fix.
  5. Write down the root cause and add it to your Room checklist.

While you investigate, ask the contact to reply in another format, such as Voice or Text, so the conversation isn’t blocked.

A screen recording reply fails

  1. Reproduce the issue with one controlled test. Send a test message and note the exact browser, device, and reply format.
