What this guide covers
Webhooks & API send real-time response events from RecRam into your own systems. Webhooks and API access are included on every paid plan. This guide covers setting up a webhook flow, using Wait-for-AI delivery when your workflow depends on AI output, and what to check when a webhook doesn’t trigger.
If you’d rather not write code, see Connect RecRam to Zapier, Make, and n8n.
Set up a webhook flow
- Define the trigger event and the destination system before you build the flow.
- Map the required fields and validate the values in a test payload.
- Run end-to-end tests with real sample responses.
- Add error handling for missing values, and retries where needed.
- Monitor the first live events before you move to production.
Use Wait-for-AI delivery
If your workflow needs AI output, such as a transcript or summary, the delivery timing has to match. Use Wait-for-AI delivery before sending automation data, so the downstream system doesn’t receive the event before the AI output it depends on.
Troubleshooting: the webhook isn’t triggering
- Reproduce the issue with one controlled test response and capture the exact inputs.
- Confirm the prerequisite settings for the form and the webhook.
- Check whether your flow depends on AI output, and whether Wait-for-AI delivery is set accordingly.
- Apply the smallest fix first and retest with the same response.
- Write down the root cause and update your integration checklist.
Common mistakes
- Deploying an automation without testing it against a real payload.
- Mapping display labels instead of stable field values.
- Ignoring timing dependencies in downstream systems.
