Respondents outside your organization

RecRam: Anyone can record and upload, with no account. Every RecRam form works for anyone with the link. Respondents record or upload in the browser, on a phone or a laptop, without signing in. The respondent screens are available in 9 languages.

Microsoft Forms: Forms can be shared with anyone, and those responses are anonymous. But file upload only works on forms restricted to your organization, so outside respondents can't send a file at all.

How people can answer

People play their recording back and can record again before submitting. You set minimum and maximum length.

Microsoft Forms: Choice, text and other structured questions, plus file upload. Internal respondents can upload video or audio files (up to 10 per question, up to 1 GB); Microsoft's help pages don't describe recording inside the form.

AI on the answers

RecRam: A transcript, summary and sentiment label for every recording. Every video and voice answer is transcribed in 110+ languages and gets a summary, keywords and a sentiment label. Opt-in AI Analysis adds per-question scores, categories and yes/no answers, with rules that tag, flag or email you.

RecRam: Connects to Microsoft tools through automation, not natively. No native Teams, Excel or SharePoint connector. Export CSV for Excel, or send responses on via Zapier, n8n or signed webhooks. Native integrations are HubSpot, Zendesk, Slack and Google Sheets.

Microsoft Forms: Export to Excel, Power Automate flows on new responses, polls and quizzes in Teams meetings, and embeds in SharePoint, OneNote and PowerPoint. Quizzes support auto and manual grading.

Compliance

RecRam: GDPR-ready, with a DPA on request. RecRam is GDPR-ready and offers a Data Processing Agreement on request. It doesn't offer HIPAA or SSO, so keep regulated health data in Microsoft Forms.

Microsoft Forms: Microsoft's service description says Forms is GDPR compliant and meets FERPA and BAA (HIPAA) protection standards, inside your existing Microsoft 365 tenant controls.

Follow-up

RecRam: Reply to a respondent by video in the same place. Room starts an async 1:1 video thread with any respondent. They reply without an account, you see when they've watched, and their replies don't count against your plan's limits.

Microsoft Forms: Email notifications and Power Automate can route a response, but a conversation thread with the respondent isn't among the Forms features Microsoft lists.

Branding and your website

RecRam: Your branding, a site popup and a testimonial wall. Your branding on every paid plan. Video Magnet shows a form on any site as a corner video that opens as a side panel, popup or full page, and Showcase publishes the video answers you pick as a testimonial wall.

Is RecRam a Microsoft Forms alternative?

For recorded answers, yes. RecRam collects video, voice, screen and text answers from anyone, with no account, and transcribes and summarises each recording. For internal surveys, graded quizzes or very high response volumes, Microsoft Forms remains the better fit. Many teams use both.

Can I use RecRam without Microsoft 365?

Yes. RecRam is a standalone web app. Neither you nor your respondents need Microsoft 365, Teams or a Microsoft account.

Can people outside my organization upload videos in Microsoft Forms?

No. Microsoft's documentation says file upload is only available when only people in your organization, or specific people in it, can respond. In RecRam, anyone with the link can record or upload, without signing in.
